The Henry Brain

The shared, Claude-maintained knowledge base of everything Henry Group knows: people, properties, deals, and playbooks, across both the real estate and management sides. It stores distilled facts plus pointers into the real sources (Outlook, SharePoint), so the answer to "where is that document" or "what is the story on that deal" is one question away. Everyone reads and writes it through Claude.

01Get set up

Takes about five minutes. You have to be at the keyboard yourself, and login codes arrive in your own work mailbox, so have Outlook open. Someone from RealZono can sit with you, and should for your first time.

  1. Create your Claude account Go to claude.ai and choose to continue with email.
  2. Install the apps Desktop: download the Claude desktop app from claude.ai/download and sign in. Phone: install the Claude app from your phone's app store and sign in the same way.
  3. Add the Henry Brain connector In Claude, open SettingsConnectors and click Add custom connector. Name it Henry Brain and paste this exact URL:

    Save, then click Connect on the new Henry Brain entry. On the sign-in page that appears, use the Sign in with Microsoft button with your work Microsoft account (some brain document links only open for people who signed in with Microsoft), then approve the permissions prompt.
  4. Connect Microsoft 365 Still in SettingsConnectors, find Microsoft 365, click Connect, and sign in with your own work Microsoft account. This is also what lets Claude act on your files and mail (file documents, draft replies) when you ask.
  5. Upload the henry-brain skill Download henry-brain.zip
    Then open SettingsSkills (under Capabilities on some accounts) and upload the file. You never invoke the skill by name; plain questions trigger it on their own.

Start a new chat and ask any of these. Watch Claude search the brain and answer with citations and working document links.

03Ingest timeline

The brain is live today with people, property, deal, and playbook pages plus the key documents (leases, PSAs, OMs, management agreements). The full backfill lands in three steps:

  • Live now · Jul 17 Brain online: people, property, deal, and playbook pages plus key documents.
  • ~Tue-Wed · Jul 22-23 OneDrive fully in the brain.
    Every designated SharePoint/OneDrive folder swept and distilled.
  • ~Fri-Sat · Jul 25-26 Email, last year, in the brain.
    The most recent 12 months of mail from the included mailboxes below.
  • ~Jul 29-31 Email, all time, in the brain.
    Full mailbox history, oldest threads last.

After the backfill, a daily 5:00 AM ingest keeps the brain current with new mail and document changes, and a weekly librarian pass keeps it tidy.

What gets filtered out

Being on the included list does not mean everything in a mailbox or folder lands in the brain. The brain is a distillation of information relevant to Henry Group: facts about people, properties, deals, and process get distilled in, while superfluous content (random marketing emails, automated notices, calendar spam) is not distilled at all. Beyond that relevance filter, the ingest filters at several layers:

  • Secrets never get written. Bank and routing numbers, wire instructions, Social Security numbers, passwords, door and lockbox codes: the guards reject any write containing them.
  • Tax forms are never read. W-9s and similar forms are skipped by name and path. The brain may note where they live; their contents are never ingested.
  • Banking folders are reference-only. For the ACH, bank transfer, and tenant billback folders, the brain records only a reference to where the original file lives in SharePoint; file contents are never extracted.
  • Employee compensation never enters the brain.
  • Tenant content sticks to the tenancy. What goes in: payments, maintenance, lease terms, and communications. What never does: anything about personal characteristics, per fair housing rules.
  • Junk is dropped. Deleted Items, Junk, and Drafts are skipped entirely.

When the ingest is unsure whether a claim is accurate, it leaves the claim out rather than guessing.

05Forward it to the brain: ai@henrygroupre.com

Got an email the company should remember? Forward it to ai@henrygroupre.com and the daily ingest will read it and work it into the brain: the facts get distilled onto the right people, property, and deal pages, with a pointer back to the original message. (On the management side, ai@henrygroupmgmt.com works the same way.)

Note Mail in the included mailboxes above is ingested automatically; you never need to forward anything already in them. Forwarding is for what would not otherwise reach the brain: a thread in an excluded mailbox, or something from outside.
What forwarding does
  • Gets the email's content crystallized into the brain's knowledge base
  • Updates the pages it touches (people, properties, deals)
  • Preserves a pointer to the original message and its attachments
What it does not do
  • It will not complete tasks (for example, file a document into a OneDrive folder)
  • It will not reply to anyone or send anything
  • It will not change anything outside the brain itself

The email address edits the brain's own knowledge base only. It is a consumer of your email and files; it is not configured to act on them. To actually get a task done (file that document into the right OneDrive folder, draft the reply, update the spreadsheet), ask Claude in the app instead: with your Microsoft 365 connector on with read and write access, Claude in chat can do the filing and editing for you, with your permissions.

06Crystallizing: how work gets remembered

A crystallization is a dated note of something worth keeping: a decision, a deal milestone, a vendor you settled on, a lesson learned. Tell Claude to crystallize it and it drafts the note from your conversation, confirms it with you once, then writes it into the brain and updates every page it touches. Everything is stamped with your work email, so the record of who decided what, and when, builds up permanently.
